1. Add the pickAtime application from the App Library in your ClassLink Management Console and set your data sharing permissions. pickAtime is notified automatically, our team configures the import, and you receive an email once it is active. Your teacher, student, class roster, parent and parent-student relationship data then flows into pickAtime without anyone exporting a file, and is re-synced daily so staffing and enrollment changes carry through on their own.
2. Create appointment availability schedules for your teachers using pickAtime's robust administrative tool. All your teachers can have the same schedule or they can be individualized per teacher. Your parent-teacher conferences can span single or multiple days. Teachers can be given the ability to customize their own schedules. Conferences can be virtual or in-person.
3. Assign the pickAtime application to your administrators, teachers, staff and parents, and they launch it straight from their ClassLink LaunchPad. Parents will receive confirmation and reminder emails. Your teachers and administrators will have real-time access to all the appointments scheduled.
Most rostering connections do one job: they move data. ClassLink does both halves of the problem, and the second half is the one schools feel on the first evening of booking.
Direct data import brings teachers, students, class rosters, parents and parent-student relationships into pickAtime automatically. Because the system knows which classes a student is enrolled in, a parent signing in sees only the teachers who actually teach their child, rather than scrolling the full staff list and hoping they picked correctly.
ClassLink SAML single sign-on removes the account step entirely. Parents, teachers and administrators launch pickAtime from their ClassLink LaunchPad using the credentials they already have - no separate pickAtime username and password to create, forget or reset the night conference booking opens. Sign-in is the step most likely to generate phone calls to the office, and this is the version of it that generates none.
The two are configured independently, so a district can run the roster import on its own if it prefers parents to use a pickAtime link rather than the LaunchPad. Both routes are documented, including the parent-facing instructions for each.
One setup detail is worth knowing in advance: before your first import, enable the security value (student date of birth) permission for the pickAtime app under Rosters → Demographics in ClassLink. That permission is what allows a parent to link to their child. Without it the import still runs, and parents are told their student records cannot be found.
